Draft: this page hasn't been reviewed by a qualified professional yet.

This policy explains what personal information this website collects, why, and who it is shared with. The website doesn't store your messages; booking and client records are kept in Jane.

Who we are

The Gentle Pour Psychotherapy and Services ("The Gentle Pour") is the private practice of Gabrielle Iluobe, Registered Psychotherapist (Qualifying). Gabrielle is responsible for how The Gentle Pour handles personal information.

What this website collects

  • Contact form. If you send a message, we collect your name, email address and message. The message is emailed to the clinic inbox and is not stored on the website. We use it only to reply to you.
  • No health information. Please don't share health details through this website or by email. Clinical conversations belong in your sessions, not in email.
  • Technical information. Our hosting provider, Cloudflare, keeps standard request logs (such as IP address, page and time) to keep the site secure and working. When you send a message, Cloudflare Turnstile checks your browser for signs of spam.
  • Visitor statistics. Cloudflare Web Analytics counts visits to this website, such as which pages are read, which site linked here, the type of device and browser, and roughly which country visitors are in. It uses no cookies and doesn't identify you. It isn't used on the Book page.

Cookies

This website does not use tracking or advertising cookies, so there is no cookie banner. If you close the announcement bar, your browser remembers that for the current visit only, and nothing is sent to us.

Laws that apply

Personal information sent through this website, such as contact-form messages, is handled under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Booking and client records

Booking, intake forms, consent, session notes, video sessions and billing are handled in Jane, not on this website. When you become a client, your personal health information is handled under Ontario's Personal Health Information Protection Act (PHIPA) or Manitoba's Personal Health Information Act (PHIA), where they apply.

Who we share information with

We share information only with the service providers we need to run the practice:

  • Cloudflare, which hosts this website, counts visits and checks the contact form for spam.
  • Resend, which delivers contact-form messages to the clinic inbox.
  • Jane, which handles booking and client records.
  • Microsoft 365, which hosts the clinic inbox.

Cloudflare and Resend are based in the United States. Contact-form messages, request logs and visit statistics may be processed outside Canada and may be accessible under US law.

How long we keep it

Contact-form messages arrive in the clinic inbox; the website itself doesn't keep them. If you don't become a client, your messages are deleted once your question has been answered. Client records, including appointment and billing records, are kept for at least 10 years from our last session, or for 10 years after your 18th birthday if that is later, as the College of Registered Psychotherapists of Ontario requires. They are then securely destroyed. Cloudflare and Resend keep their own records for [PLACEHOLDER: provider retention periods].

Your rights

You can ask to see or correct the personal information we hold about you. Use the email address on the Contact page. We'll respond within 30 days. If you have a concern we can't resolve, you can contact the Information and Privacy Commissioner of Ontario, the Manitoba Ombudsman, or the Office of the Privacy Commissioner of Canada.

Changes to this policy

We'll update this page if our practices change. The date at the top shows when it was last updated.
